Event #13 - WILLIAMSBURG LEARNING P6 Teamwork from Hijacked to Well-Oiled Machine

Our workday gets hijacked when others don’t plan or communicate, making it difficult for us to plan, decreasing our effectiveness, and increasing our stress. In this presentation, I share a series of policy, project, process, procedure, planning, and productivity tools our school has used to create a well-oiled machine.

As an online school, we’ve had a distributed workforce for over a decade - well before Covid made it a necessity for many professionals. We’ve researched the best tools for organizing work and getting things done among colleagues who in many cases have never met in person. The key has been creating a shared culture and mindset around our work that has increased our team's productivity, facilitated effective planning around shared goals, and kept us from getting hijacked from poor project management or miscommunication. We seek to instill in every team member a project and productivity mindset. All projects are fully tasked out months in advance. Everyone is working towards common goals using shared, well-understood tools Policies, projects, processes, procedures, planning, and productivity tools - the 6 "P's" may sound mundane at first, but they create shared culture, mindset, and expectations about how we work together. Policies provide shared expectations and boundaries. Projects require us to draft a blueprint before we build, notifying staff of their needed involvement weeks or months in advance. Processes are templates for recurring projects and facilitate continuous improvement and "success on repeat." Procedures help us deliver on our promises error-free the first time. Every seat. Every process. Allowing us to delegate and scale. Planning on an annual, quarterly, monthly, weekly, and daily basis with a different lens for each ensures that we're working together towards the same goals and getting done what matters most. Productivity tools gleaned from experts including Inbox Zero, OHIO, Do-Delegate-or-Defer, Unique Ability, Highest & Best Use, L10 meetings, to name a few, ensure we're maximizing our time and efficiency. In this presentation, I’ll share the principles, concepts, and tools gathered from a decade of productivity research by our team.
